The AI Loadout

Best AI receptionist for a small business

Updated · What changed: First published with Rosie as the pick.

By The AI Loadout editors · How we pick

For most small businesses the best AI receptionist today is Rosie. $49 a month covers 250 minutes of 24/7 answering, message taking and texted booking links, and the $149 plan adds booking straight onto your calendar and live transfers. Pick Goodcall if the same customers call back a lot or calls run long, since it bills per unique caller ($79 for 100) and never per minute. Pick the Smith.ai free plan (25 calls a month) for the cheapest real test, or when some calls need a human backup. Write the call script yourself with the Front Desk Script Writer persona below.

The loadout (why each pick)

Tool: Rosie

Rosie Professional is $49 a month for 250 minutes, with English and Spanish on every call, spam detection, summaries, transcripts and recordings, and it learns your business from your Google profile and website, per its pricing page (checked Oct 20, 2026). Calendar booking and live transfers start on Scale ($149 for 1,000 minutes), so on the $49 plan it takes messages and texts callers a booking link. There is a 7-day free trial.

Model: Built in (Rosie)

Receptionist services choose and tune their own speech and language models, and none of the services on this page let you swap the model. Judge them on test calls, not on a model name. If you want to pick the model and voice yourself, build on Retell AI or Vapi instead (see Alternatives by situation).

Agent skills

  • Calendly booking link: Rosie's $49 plan texts callers a booking link instead of booking for them, so have a booking page with real availability ready before you go live. Cal.com works the same way.
  • Zapier hook for call summaries: Rosie connects to Zapier, so every call summary can land in your CRM, a spreadsheet or a team chat without copy and paste.

Bot persona: The Front Desk Script Writer

Most bad AI receptionist calls come from vague instructions. This persona turns what you know about your business into a short script the receptionist can follow.

Bot: Rosie

Rosie is the ready-made receptionist bot behind this pick. Compare it with Goodcall, Smith.ai, Retell AI and Vapi in the Bots directory. ReceptionistCost, an independent price comparison, lists Rosie Scale at $149 and Goodcall Starter at $79 at 100 calls a month, matching the vendor pages. Browse all bots.

The Front Desk Script Writer prompt
You write call instructions for an AI phone receptionist at my business. First ask me for: business name, services, service area, hours, and the 5 questions every caller must answer. Then write: 1) a greeting under 15 words that says it is an AI assistant, 2) the 5 intake questions in plain spoken language, 3) an emergency list with the exact words that mean "transfer to a person now", plus the number to transfer to, 4) a do-not-say list: no prices, no arrival time promises, no diagnosing, 5) answers to 10 common questions using only facts I gave you. If I did not give you a fact, write [ASK OWNER] instead of making one up.
  1. Count last month's calls first: how many you missed, how many came after hours and how long a typical call ran. That tells you which billing model is cheapest.
  2. Start the Rosie 7-day trial or the Smith.ai free plan, and keep your existing number by forwarding calls to it.
  3. Paste the Front Desk Script Writer persona into ChatGPT or Claude, answer its questions, and load the result into the greeting and FAQ.
  4. Forward only overflow at first: let your phone ring for about 20 seconds, then send the call to the AI.
  5. Listen to the first 20 recordings and fix the script wherever a caller got confused. Check the call recording consent rules in your state before you turn recording on.

Alternatives by situation

  • Under 10 missed calls a month: You probably do not need an AI receptionist yet. A business line that texts missed callers back, like Quo, costs less and saves most of those leads, per HustleCrew AI.
  • Repeat callers: Goodcall counts one phone number once a month, so a customer who calls five times costs the same as one who calls once, and long calls cost nothing extra.
  • Calls that need judgment: Pricing questions, upset customers and legal or medical intake hold up better with Smith.ai, whose AI can hand the call to a live receptionist.
  • Already on Jobber: Jobber sells an AI Receptionist add-on for $29 a month that books into the same schedule and client list, per HustleCrew AI.
  • Outbound calls and reminders: If the bot will place calls (follow-ups, appointment reminders, lead calls), US TCPA rules require prior consent for AI or prerecorded voice calls to consumers, plus honoring opt-outs. Many states require every party to consent before a call is recorded, so say up front that the call is recorded. Retell AI supports batch outbound calls.
  • Build it yourself: Retell AI or Vapi let you pick the model and voice and connect your own tools. Kabsai Labs puts the running cost at about $0.13 a minute on Retell, plus the time to build and maintain it.
  • Build it yourself on one platform: Cartesia launched Managed Agents on Oct 29, 2026: speech, turn-taking, tool calls, knowledge bases, phone numbers and outbound batches in one platform. It lists $0.03 a minute, with phone and LLM usage on top (Cartesia says LLM usage is free for a limited time), and the free plan includes $1 of agent minutes, about 33 minutes, to test. Cartesia says it ranks first on the Speech Agent Arena, its own launch claim. It is built for teams that can configure an agent, not a plug-in receptionist.

What changed

  • : Added Cartesia Managed Agents (launched Oct 29, 2026, $0.03 a minute plus phone and LLM usage) as a build-it-yourself option. Pick unchanged.
  • : Added a Bot slot (Rosie), links to the Bots directory, ReceptionistCost as a cost reference, and a TCPA note for outbound calls.
  • : Page launched with initial picks. Prices were checked on the vendor pages listed under Sources.

FAQ

How much does an AI receptionist cost?

Most small business plans cost $49 to $99 a month as of October 2026. Rosie starts at $49 for 250 minutes, Goodcall at $79 for 100 unique callers, Smith.ai has a free plan for 25 calls and Pro at $150 for 75 calls, and NextPhone is $199 for unlimited inbound calls. A human answering service for the same calls costs several times more.

Is there a free AI receptionist?

Smith.ai has a free plan with 25 calls a month and $3 per extra call. Goodcall lets you build and test a demo agent for free and charges only once you connect a number. Rosie has a 7-day free trial.

Per minute, per call or per caller: which billing is cheapest?

Per-minute plans like Rosie are cheapest when calls are short. Per-caller plans like Goodcall win when the same people call back or calls run long. Per-call plans like Smith.ai are predictable but cost about $2 a call. A flat plan like NextPhone only pays off at high volume.

Should an AI receptionist handle emergencies?

It should spot them and get them to a person fast, not try to solve them. Give it a short list of emergency phrases for your trade and a transfer number that someone actually answers.

Will callers hang up on a bot?

Some will. Keep the greeting short, say early that it can text a link or take a message, and keep a missed-call text as a backstop.
